View Full Version : Changed an employee last name

Had an employee who had a last name change part way thru the 1st qtr. Made the change, but now something is wrong with my reports. The Employers Total report doesn't match any other report. In the process of trying to track down what's happening, I tried to edit a past paycheck that is under her previous name. It won't let me open the paycheck, telling me I have to a State Tax Record. Of course I can't do that, as that client has a new last name and has a State Tax Record attached.
Near as I can tell, the wages for the employee prior to the name change ARE included on the Employers Total report, but NOT included on other reports, including custom reports.

It's always been my understanding that we were permitted to change anything about the employee except their employee code. Surely we can change a last name? Do you want me to send you the file? I've considered changing the name back and seeing if that helps, but I don't want to make matters worse.

That is true, the only thing that will break the connection between the employee and the saved payroll transactions is the Employee ID.

All Employee records must have a State Tax Record attached. You should be able to pen the employee record and select the state they are in and save it.

If you cannot, make a backup and send it attached to an email to support@zpay.com referencing this message thread and tell us the employee's name. we can fix it for you.

After further digging, it turns out that the member of my staff that made the name change, also changed the code (our employee codes are based on name). Fortunately for said staff member, we recently curtailed our policy on summary executions, the simple excise of a finger will suffice in this case. Probably going to be tough to enforce as she's currently quarantined at home. Hmm...

Just set the Employee ID back to what it was and you will be good.
