View Full Version : Accruing sick leave hours for employees subject to new California sick leave rqmt

California has passed a law requiring all employers to provide 3 days of paid sick leave per year to all employees in 2015. Sick leave is accumulated at the rate of 1 hour for every 30 hours worked. An employee will accumulate the 3 sick days after working 720 hours. We have employees that work more than 40 hours per week and employees that work less than 30 hours per week. One employee would not accrue the whole 3 days since he normally works less than 720 hours in a year. Is there a way in Pay Window to record on the pay stub the accumulation of an hour of sick leave after every 30 hours worked? I have looked at the tutorials on this, and the postings, and I don't see any information on how to do this.

I'm guessing you are only allowing then to earn up to 3 sick days a year. If that's the case, you would set that up in the accruals for sick pay. If there work day is 8 hours a day, then you would enter that as 24 hours in item 4 as seen on this page of the help file:

Of course you would also need to set up the rest of that page for each employee as well depending on the hours they can work in a year to accrue properly.

I had looked at the tutorials. My question is whether the program has the ability to accrue 1 hour of sick leave for every 30 hours worked, regardless of how many hours are worked in a pay period. A person may work 5 hours or 70 hours. I cannot input a value in item 10 for the hours in a year because it varies significantly for each person each year, depending on work demands. Sick leave will be capped at 48 hours. Sick leave is not allocated at the beginning of the year. At initiation, each person will have zero hours in their sick leave account. For example, if someone works 30 hours in a pay period, the program should add 1 hour to the sick leave account. If someone works 45 hours it should add 1.5 hours. It should allocate sick leave based on hours worked, whatever the value is, ie 1.0 hours, 1.5 hours, 1.3 hours, 1.7 hours, etc. Can the program do this?

The answer is no.

The only way to do that would be to override the accruals and manually enter the accruals that you want.
