How do I manually edit W2 forms for clergy, for the purpose of editing for housing allowance, etc.? I was told you could double click on the total pay, but that is not working. thanks.

See this page in the help file, the W2Express add-on for PayWindow allows you to edit the W2 Forms and print them on plain paper as well as creates the file to report the W2's on-line at the SSA website:

Thanks for this, I think. I did purchase W2Express; however, if I still need to mail 3 copies to the employees (and if I mail to gvt instead of e-file), how do I get rid of the "Do Not Cut, Fold, or Staple Forms on this Page" printed in the middle of each page? And I'm assuming now i need to purchase blank perforated W2 forms instead of pre-printed forms?

That is a W2Express support question but I believe I can answer it. The copy A is the red copy for the IRS which cannot be cut etc. The Copy B, C and 2 is for the employees.

I found this by clicking the Print button and seeing the choices as seen in the screen shot I just took and will place in this message.

Another question in relation to clergy editing; I also need to edit the W3 form. W2Express does not allow me to edit. Any guide on how to edit a W3 form via W2Express?

Actually any edits made the the W2 Forms should be reflected in the W3 Form when printed in W2Express. But why bother with the Red Copy and the W3 Form as W2Express will allow you to report on-line direct to the SSA. In that case, no need for the red forms or the W3 form.

Hi, this is Bob with W-2 Express. My first time to use this forum, so please be patient.
1. While inside W-2 Express, you can edit any line by simply double-clicking on that persons line. The W-2 form for that person will pop up. You can change anything.
2. You never order RED Copy A forms for W-2 Express. Instead W-2 Express creates Black and White W-2 forms Copy A for the SSA with 2 different people per form. You mail these directly to the SSA. Yes on black and white paper. W-2 express is approved for that by the SSA, and the B&W W-3 cover form.
3. Paul was correct that the W-3 Transmittal is a summation of all the W-2 forms for the calendar year. So the only way to modify the W-3, is to change the W-2 forms. Of course you must know that these must equal you 941 forms totaled for all quarters.

W-2 Express has TWO GREAT features that make life easy and avoid having to purchase forms.

1. Like Paul said, you can e-File directly to the SSA with W-2 Express. That's cool because the SSA reports the file status, and that it was received. So you can rest easy and know your compliance issue is complete.

2. W-2 Express is approved by the SSA to print black-and-white Copy A forms, W-2/W-3 for mailing to the SSA, so long as you have less than 250 forms, as most people do. See this link for the SSA Approval letter: http://1099express.com/ssa.asp
