View Full Version : PayWindow Reports and Cumulative values

I have started using PayWindow from the start of this calendar year. I pay my employees monthly so would expect Period and MTD figures on the Employers Report and on the Check Report to be the same. But after the end of the first period it became obvious MTD, QTD and YTD all show the YTD figures. This was not a problem to the end of the first quarter but now it has continued into the second quarter it has become a problem. I need to know how and where QTD and YTD figures are managed.

Are you actually paying employees the correct way, or are you editing existing payroll transactions and not allowing PayWindow to keep a payroll history?
The Correct way to pay employees is sown in the help file starting on this page:

Note that you open the Employee list and NOT the Transactions.
If you are using the Transaction list, you keep using the same transaction that was created on the first pay day.
If you pay the way we show, your transaction list will grow having a transaction record for every pay date for each employee paid. That is where the reports get the data from.

I've taken a look at the link and this is exactly how I've been doing it. If I take a look at the transactions now there are four for each employee, one for each month.
On opening the program I will set the paydate and then pay each employee (from the employee list). Then print the reports. Is there something I'm missing like updating each employee before closing the period?

OK, if you have a transaction for each month, January, February, March and April, set the date in PayWindow to the April Pay date and look at the Employer Totals report. The Period, MTD and QTD should display the same thing and the YTD will display the total for the year.
There is no closing or such required as PayWindow is date sensitive. If you set the date to the January pay date, Period, MTD, QTD and YTD will all be the same. Changing the date to each other pay date will change for each pay day.

And View the Normal 80 Column Report to see what an example looks like for a February 4th payroll for the employees information. Then look at the Employer Totals report for the company totals.

Still didn't work! but no worries, the penny dropped.
I have been running PayWindow on my computer in the UK where the date formats are DDMMYY. so I have reinstalled on one of our servers in the US and low and behold all is now perfect!
