our last bi-weekly payroll will be on December 29, 2008 and the first bi-weekly payroll for 2009 will be on Jan 12, 2009
as our CPA handle the W2 for us every year, we do not have to work any W2s.
we only use ZPay to run bi-weekly payroll, print out checks and reports for each pay period

how do we handle the transition from 2008 to 2009 for our bi-weekly payroll?
do we need to use the end of year tool?
do we just purchase the annual upgrade and install in January 2009?
would the tax table for 2009 be correct when installed or do we need to make adjustment?
will our 2008 payroll records still be in the company file or would it be deleted?
if we want to keep 2008 in our hard drive, do we have to set up another company file for 2009?

would anything else be deleted besides the Unemployed employees after year end 2008?

The Date that you pay determines on what year it is reported in.

Working over the 2008 - 2009 crossover would be paid in 2009.

So you need to print your W2 Forms after the last "pay day" in 2008.

If you want to keep live databases and not just past year backups on removable drives, you can use Windows to make copies in your data folder adding the year to the company name like "Acme Payroll 2008.dxi" as an example.

When you run the end of year tool it delete *ALL* transactions starting with a clean database for the new year and all employees marked as Unemployed.

In September we have to file numerous reports to the Workman's Compensation people.
This allows me to not have to do restores.
It also gives me quick access to historical data.

Given that the data is small and memory and computers are very fast today.

Are there any problems that may occur in this approach?

You can do that as an Access database will hold a billion records. It's just more tidy to make a copy of the database at the end of year if you want to keep them in the database folder and append the year to the filename. That way going back is as simple as clicking File and Open Company.

No, not if your CPA is preparing them for you.
