What do I check before printing W2 Forms?

Look at this image and then read below:

Select the sort order that you desire in the Sort By selections.

Only use the Employee selection if you need to reprint a damaged W2.

The W2 Type Box has these selections:

Laser 2-up - The normal format that most will use. This is two forms on a page.

Laser 3-up - This has three forms on a page and is used by companies with over 250 employees that need to file electronically.

Laser 4-up - This has four forms on a page, same use as the 3-up.

Export - Exports a data file that can be imported into MAG-Filer from Spokane Computer for those companies that have over 250 employees. http://magfiler.spokanecomputer.com. Mag-Filer users see export / import instructions here: http://zpay.com/MagFilerImport.htm.

W3 - Select this and click the Print button to print on the W3 Form.

Laser Printer Checkbox - Uncheck for InkJet printers.

The next items allow you to move the margins and the space between the top and bottom forms on a sheet. The Left can be a negative number to move the margin to the left such as -30 or a positive number to move the margin to the right such as 30. The Top does the same for moving up with a negative and down with a positive number. The third is the distance between forms and 500 is the default and to move the bottom form up a number such as 490 would do that.

The forms come in sets. To print on the forms, load the first set (the red copies) and print them. Then load the State copies and print them, and so on until done.
